HubSpot Migration
Move to HubSpot without losing your history
We migrate CRM, marketing and support data into HubSpot and restructure it as it moves. You start in the new system with clean records, a pipeline that fits how you sell and a team that knows how to use it. BFJ Digital is a HubSpot Diamond Solutions Partner in Brisbane.

Why migrate carefully
The import is the easy part
Moving contacts, companies and deals into HubSpot is often the biggest driver of effort in a HubSpot project. The work is rarely the import itself. It is the cleaning beforehand: removing duplicates, fixing incomplete records, mapping old fields to new ones and deciding what history is worth keeping.
Dirty data migrated badly damages trust in the CRM from day one. So we treat migration as its own workstream, with its own plan, mapping and checks. It sits inside our wider HubSpot implementation and HubSpot agency services.

Migration paths we run
Salesforce to HubSpot
- Years of customer and opportunity history moved intact
- Data restructured as it moves
- A pipeline rebuilt for how you sell now
Other CRMs to HubSpot
- End-to-end delivery from planning to go-live
- Stage mapping and data syncing planned up front
- We audit before we recommend the platform
Spreadsheets to HubSpot
- Tidy a single sheet or reconcile several
- Define properties, lifecycle stages and owners
- Set up one pipeline and the follow-up around it

Service and marketing tools to HubSpot
- Ticket history moved from Zendesk to Service Hub
- Email marketing moved from Mailchimp
- Campaign and sales activity on one record
How we migrate your data
Data, mapping and quality
What gets checked before go-live
Quality assurance is where a migration is won or lost. Before go-live we check:
- Record counts in HubSpot against the source, by object
- Field mapping on a sample of real records
- Association between contacts, companies and deals
- Deal stages and pipeline values after the move
- Integrations and forms writing to the right properties
- User access and permissions
Where an integration is involved, we build and test it before cutover. Our developers handle HubSpot API and integration work in-house.

Risks
What can go wrong, and how we prevent it
Most migration problems are predictable. We plan for each of them.
- Data loss: we keep the source system untouched and reconcile counts before cutover.
- Dirty data carried across: we clean before we import.
- Pipelines that do not match the sales process: we rebuild stages with your team, not copy the old ones.
- Team does not adopt the new system: we train by role and document the build.
- Delays from data access and approvals: we agree an internal owner and a data-access plan up front.
- Broken connections: integrations are tested before go-live.
How long and how much depend on data volume, how clean it is and how many systems connect. Our cost and timelines guide explains what moves both.

Rennie: Salesforce to HubSpot CRM migration
BFJ Digital, Rennie case studyRead the Rennie case studyThe historical customer and opportunity records came across intact, which meant the team could work entirely in HubSpot from day one without keeping a legacy system open for reference.
Axiom College
Moving from manual allocation to one CRM
Axiom College had no central platform for student enquiries. Opportunities moved slowly through manual allocation and follow-ups were easy to miss. We built a custom HubSpot CRM around the way Axiom moves a student from first enquiry to enrolment.
Enquiries now reach the responsible Business Development Manager through automated regional allocation, with a follow-up workflow attached. Leadership reads activity and pipeline by manager and region from the same platform.

HubSpot migration FAQs
Can you migrate us from Salesforce to HubSpot?
Yes. We have done it. For Rennie we moved the full Salesforce history, restructured the data as it moved and rebuilt the pipeline around their current sales approach.
Can you migrate from Zoho or another CRM?
Yes. We deliver end to end: planning, mapping, cleaning, migration, testing and training. We audit before we recommend, so if HubSpot is not the right fit, we say so.
Can we move from spreadsheets to HubSpot?
Yes. A spreadsheet migration is often the simplest kind. We tidy and reconcile the data, define properties and lifecycle stages, and build the pipeline and follow-up around it.
Will we lose historical data?
Not if we plan it. We decide with you what history is worth keeping, map it, test it and reconcile record counts before go-live. Rennie's customer and opportunity records came across intact.
How long does a migration take?
It depends on data volume, how messy it is and how many systems connect. In a mid-complexity project, data audit, cleaning and migration typically take one to four weeks inside a wider build.
We confirm the timeline once we have seen your data. See our implementation page for the full picture.
What do you need from us?
One internal owner who can make decisions, access to your source data and the people who know it, and an agreed set of sales stages and lifecycle definitions. The more of that is settled up front, the smoother the move.
Do you train our team on the new system?
Yes. Training and documentation are part of the project, and we support the first weeks of live use.
